Administrative Assistant

4-6 hours / weekly

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, booking appointments and generally being a helpful and positive presence in the organization. A successful candidate would also assist in the preparation of our upcoming World Diversity in Leadership Conference that is coming up in July.

Some of the tasks include:
Answering and directing phone calls to relevant staff
Scheduling meetings and appointments
Taking notes and minutes in meetings
Ordering and taking stock of office supplies
Being a point of contact for a range of staff and external stakeholders
Preparing documents for meetings and business trips
Processing and directing mail and incoming packages or deliveries
Greeting and directing visitors and new staff to the organization
Writing and issuing emails to teams and departments on behalf of teams or senior staff
Researching and booking travel arrangements for staff members
Finding ways to improve administrative processes

To be successful as an administrative assistant, candidates should be professional, polite, and attentive while also being accurate.
Additional Details & Skills Required
Prior administrative experience.
Excellent computer skills, especially typing.
Attention to detail.
Multilingual may be preferred or required.
Desire to be proactive and create a positive experience for others.
Certification or Education Required
Certificate in Business Administration
Diploma in Business Administration
Bachelor in Business Administration

Proficiency in MS Office, with exceptional knowledge of Excel and PowerPoint
Working knowledge of Google Docs
Knowledge of project and task management tools such as Basecamp, Trello and Smartsheet
