Join the Checkmate Foundation as an Executive Assistant (multiple positions available)!

We’re looking for passionate and motivated individuals in Calgary to support our board executives and help grow an inclusive chess community through education and outreach.

As a provincially registered non-profit, Checkmate Foundation is dedicated to creating opportunities for diverse communities through chess. No prior chess or leadership experience is required - just positivity, reliability, and a willingness to learn.

Requirements:
▫️Must live in Calgary and have reliable transportation
▫️Most events are in-person across the city
▫️Chess knowledge is a bonus, not required

Responsibilities:
▫️Director of Internal Affairs and Outreach Assistant: Focuses on building relationships with local schools, libraries, community centers, and chess organizations to expand the club’s impact. Key responsibilities include reaching out to potential partners for events or programs, developing collaborations (e.g., school chess nights, public tournaments), representing the club at community events and helping to grow membership and promote inclusivity.
▫️Director of Social Media Assistant: Work with our VP of Social media to create and manage the club’s online presence to grow community engagement and visibility. Key responsibilities include managing accounts on Instagram and Facebook, creating and scheduling engaging posts (events, chess tips, highlights), responding to DMs and interacting with followers, and collaborating on marketing campaigns with other execs. 
▫️IT Assistant: Work closely with our IT Director to support and maintain the organization’s digital platforms and technology needs. Key responsibilities include updating the website, managing the online calendar and team rosters, assisting with basic technical support, maintaining digital records, and helping ensure online information is accurate and up to date.
▫️Director of Finance Assistant: Work with our VP Finance to keep track of the club’s budget, manage expenses, and ensure financial transparency. Key responsibilities include maintaining records of all income and expenses, creating basic budgets for events or operations, handling reimbursements and funding requests and assisting with preparing financial reports if needed.
▫️Program Director Assistant: Work with our Program Directors to plan and execute planned activities, ensuring they align with the club’s mission and community interests. Key responsibilities include designing and coordinating regular events (e.g. tournaments, casual meetups, workshops), overseeing logistics (venues, scheduling, equipment), and leading group events when Program Directors are unavailable.
▫️Volunteer Coordinator Assistant: Support the Volunteer Coordinator in maintaining clear and consistent communication with volunteers to ensure all community events are adequately staffed. Key responsibilities include preparing and organizing volunteer documentation and instructions, onboarding and orienting new volunteers, tracking volunteer hours, and assisting with the planning and coordination of volunteer appreciation events.

Time Requirements: About 2 hours a week (some weeks may be more or less).
