Project Manager - Implementation of the Strategic Plan

To enhance the quality of life of older adults in Vancouver’s West End by providing social, recreational, educational, and supportive programs and services that foster connection and inclusion in the broader community.

Project Summary
WESN is seeking a collaborative and organized Project Manager to support the development and execution of tasks derived from their 2026–2027 Strategic Plan. This role involves coordinating existing strategic elements—currently owned by various leads—into a cohesive, actionable roadmap. You will act as a central integrator, ensuring that milestones across Internal Processes and, Organizational Capacity are met through clear timelines and shared accountability.

Required Qualifications
Proven experience as a Project Manager leading and overseeing multiple initiatives
Demonstrated ability to develop and manage detailed project plans, timelines, and risk mitigation strategies
Experience facilitating collaborative planning sessions and supporting individuals to meet shared organizational milestones
Ability to develop Key Performance Indicators (KPIs) and evaluation tools to monitor project impact
Excellent communication skills and the ability to work effectively with diverse stakeholders
Experience working with nonprofit, community-based, or public sector organizations is an asset

Scope of Work
1. Project Planning & Management
- Lead the development and execution of the 2026–2027 Operational Plan, which will cover the implementation of tasks defined in the Strategic Plan
- Define clear project scopes, deliverables, and dependencies by collaborating with internal stakeholders who currently own specific plan components
- Create master timeline and milestone tracker to ensure target completion dates are achievable and synchronized across the organization
- Proactively track progress, identifying risks or resource gaps that may impact the delivery of the roadmap
2. Collaboration & Integration
- Serve as a central point of contact for staff leads to ensure departmental projects align with the overall strategic direction
- Facilitate regular check-ins with leads to help translate high-level goals into documented, step-by-step workflows
- Ensure that the operational plan remains grounded in WESN’s mission of empowerment and social connection
3. Monitoring & Evaluation Planning
- Support the development of Key Performance Indicators (KPIs) to measure program outcomes and participant experience
- Assist in drafting progress reports for the Board to demonstrate successful implementation of the 2026–2027 milestones

Deliverables
The Project Manager will have accountability for the strategic integration and progress-tracking of the 2026-2027 Operational Plan. Key deliverables include:
- A roadmap to help staff leads identify where their departmental timelines overlap or depend on one another
- Status reports which track momentum and proactively flag potential resource gaps to the Executive Director
- A simple risk register for anticipating high-level issues and bottlenecks, such as technical hurdles or capacity limits, ensuring the leadership team can address them early
- A framework for the development of Key Performance Indicators (KPIs) to help staff measure program impact consistently across WESN service areas

Accountability
The PM volunteer will have end-end accountability on project deliverables, reporting to the West End Seniors Network’s Executive Director, Claudine Matlo.

Additional Information
- We may proceed with interviewing and engaging applicants before the application deadline.
- We may ask the project manager to mentor a client team member to support raising awareness of project management techniques within the client organization

Project Management Volunteers (PMV) Sponsored Project
This is a PMV sponsored project. The Project Manager will enter into a 3-way partnership between the Client organization, the Project Manager, and PMV. This will include additional responsibilities and benefits for the Project Manager.
Why should you volunteer for this opportunity?
The Client will provide a letter of recommendation to the PM volunteer at the successful conclusion of the project and serve as a reference.
