Job Description

We are seeking a highly organized and detail-oriented Event Coordinator to support FCBB’s operations in Montreal. In this role, the volunteer will plan and execute a variety of events, from conception to delivery, ensuring consistency, professionalism, and a strong participant experience. Responsibilities include budgeting, vendor and partner coordination, and close collaboration with internal teams. The professional will work within a dynamic non-profit environment, contributing to FCBB’s mission of strengthening business and cultural bridges between Brazil and Canada.

Key Responsibilities

- Plan and execute events end-to-end, from conception, budgeting, vendor sourcing, partnership coordination, logistics, and delivery.
- Coordinate with suppliers, venues, speakers, sponsors, and internal teams to ensure cohesive and efficient event operations.
- Monitor event proceedings and provide real-time support to guarantee smooth execution.
- Develop and support webinars in collaboration with the HR and Business Development teams.
- Manage invitations, guest communications, RSVP tracking, and follow-up messaging.
- Maintain consistent documentation, timelines, and checklists for each event.
- Measure event results, prepare post-event reports, and integrate key learnings into future initiatives.
- Ensure all events reflect FCBB’s standards of quality, branding, and communication style.

Skills and Qualifications

- Bachelor’s degree in Journalism, Communication, Media or related;
- 2+ years of experience in project coordination and/or event coordination.
- Demonstrated success producing in-person and digital events with measurable audience growth.
- Proven experience with online marketing, including social media platforms (YouTube, LinkedIn, Instagram, etc.) and podcast production.
- Knowledge of the digital media industry and current communication trends.
- Advanced English for commercial and professional communication (spoken and written).
- Strong communication and writing skills in both English and Portuguese.
- Exceptional English fluency, enabling compelling global outreach and stakeholder engagement.
- Excellent planning, time management, and organizational abilities.
- Hands-on, proactive, and “can-do” attitude, with strong ownership of tasks.
- Highly collaborative team player with strong interpersonal skills.
- Detail-oriented, organized, and able to manage multiple priorities effectively.
