The Outreach Coordinator plays a crucial role in enhancing community engagement and promoting our organisation's mission. This position involves developing and implementing outreach strategies, managing projects, and fostering relationships with stakeholders. The ideal candidate will be passionate about community service, possess strong leadership skills, and have the ability to educate and inspire others.
Responsibilities
Venue Coordination
Research, evaluate, and secure event venues based on budget, capacity, and logistics.
Serve as the main point of contact for venue management.
Oversee venue contracts, insurance, permits, and logistics (A/V, catering, accessibility, etc.).
Vendor Management
Source and negotiate with vendors for catering, equipment, printing, transportation, decor, and more.
Ensure all vendors meet quality standards, timelines, and budgetary requirements.
Maintain clear records of contracts, payments, and deliverables.
Speaker Engagement
Identify and invite potential speakers aligned with event goals.
Coordinate speaker logistics (travel, lodging, tech needs, bios, presentation materials).
Serve as the liaison for speaker communications and support before, during, and after the event.
Logistics & Communication
Maintain organised databases of contacts and communications.
Track outreach progress and follow-ups using CRM or project management tools.
Collaborate with internal teams to ensure cohesive event planning.
