Through a direct-source volunteering model, we empower individuals, strengthen families and unite communities facing systemic barriers such as women, seniors, newcomers, low-income individuals, and marginalized groups. Our mission is carried out through the Generosity Hub (via a Facebook Private Group Marketplace), key programs and events, partnerships with businesses and philanthropists, and advocacy for generosity as a force for social change. Role Overview
The Director, IT, CRMs and Systems will provide strategic and hands-on leadership in managing Volunteer Well’s digital systems, IT infrastructure, and CRM platforms. This role is instrumental in developing and integrating technology solutions that streamline operations, enhance volunteer and customer engagement, and support organizational growth. Responsibilities include creating and managing tech infrastructure across operations; overseeing the Generosity Hub (currently via Facebook Private Group Marketplace); and building sales funnels to generate and manage leads.
This volunteer leadership role is part of the Board of Directors, contributing to technology strategy, volunteer management, and infrastructure development across all areas, including sales and marketing, client and volunteer data, programs and events, donor management, lead generation, and more.
Key Responsibilities
CRM and Systems Development
 Lead the implementation and management of an AI-integrated CRM system (GoHighLevel – GHL platform).
 Build and maintain funnels, workflows, and automation processes to optimize engagement, lead generation, and
data management.
 Create and manage sales funnels to generate and manage leads effectively.
 Ensure data accuracy, security, and compliance with Canadian privacy and nonprofit regulations.
Volunteer & Customer Engagement Systems
 Design and implement Volunteer Well’s Volunteer Management System, currently under development using
Google Workspace (G Suite), Google Forms, and Google Sheets.
 Establish user-friendly processes for volunteer and customer onboarding, tracking, and engagement.
 Provide training and documentation for staff and volunteers.
IT Infrastructure & Administration
 Oversee the creation and management of organization-wide tech infrastructure to support all areas of
operations, including sales and marketing, client and volunteer data management, donor management, and
programs and events management.
 Manage and integrate other IT-related platforms and accounts essential for operations.
 Oversee Google Workspace account administration (email, drives, permissions, shared resources).
 Provide technical support, troubleshooting, and process improvements as required.
Digital Marketing Support
 Oversee Google Ads account management, including optimization and compliance with Google Ad Grants for
Nonprofits.
 Manage Generosity Hub as a key digital platform for community engagement and visibility.
 Collaborate with the Communications/Marketing team to align campaigns with organizational goals.
Governance & Collaboration
 Actively participate as a Board Director, serving in a volunteer leadership role and contributing to technology
strategy, volunteer management, and organizational infrastructure creation and management across all areas of
the organization, including sales and marketing, client and volunteer data management, donor management,
lead generation, and programs/events management.
 Ensure IT systems align with Volunteer Well’s mission, vision, and compliance standards.
 Mentor and support team members in adopting and effectively using systems.

Time Commitment & Expectations
Term: Director, IT, CRMs & Systems serves a minimum 3-year term, with the option to renew.
Weekly Commitment: Approx. 4–5 hours per week for board meetings, strategic consultations, advisory support, committee work, and additional sessions with the CEO/teams as needed.
Board Meetings: Attend at least 4 of 6 virtual board meetings each year, plus strategic sessions when required.
Active Engagement: Stay involved in strategic planning and oversight of IT, CRM, and systems initiatives, without participating in day-to-day operations.

Certification or Education Required
What We’re Looking For
Senior experience in IT systems, CRM management, or digital infrastructure.
Skilled with GoHighLevel or similar CRMs, including workflows and automations.
Strong knowledge of Google Workspace and Google Ads/Ad Grants.
Experience in process design, data management, and system optimization.
Strategic thinker with governance skills and commitment to equity, inclusion, and our mission.
