Position Overview We are currently seeking a highly organized and proactive Volunteer Event Planning Coordinator to help lead the planning and execution of an upcoming Autism Today conference. This individual will play a central role in overseeing key logistical aspects of the event, including speaker coordination, venue sourcing, registration, budgeting, and overall event flow. The Event Coordinator will report to the Marketing & Sales Department and work closely with the Finance team to ensure budget alignment. This is an exciting opportunity to make a tangible impact while developing your event management skills within the nonprofit sector. Key Responsibilities Coordinate and track speaker logistics, including drafting and managing contracts Assist in organizing and searching for suitable, cost-effective venues for nonprofit events in Edmonton Monitor and manage the event registration process to ensure a smooth experience for attendees Work with the videographer to plan and oversee event recording or streaming needs Write personalized thank-you letters to speakers and coordinate the preparation of speaker gifts Collaborate with the Head of Marketing to ensure the event stays within the approved budget Maintain communication across teams to support marketing, logistics, and finance requirements Ensure deadlines, schedules, and milestones are met in a timely and professional manner Qualifications Proven experience coordinating events within Canada, preferably in the nonprofit, education, or advocacy sectors Strong organizational and multitasking abilities with excellent attention to detail Comfortable managing contracts, tracking expenses, and supporting financial accountability Strong written and verbal communication skills Ability to work both independently and collaboratively across teams Familiarity with tools like Google Workspace, ClickUp, or other event/project management platforms is a plus Passion for Autism Today’s mission and a commitment to inclusive and accessible event planning
