JazzYYC Annual Fundraiser - Planning Committee

Event Date: November 1, 2025
Location: The Audio Room (11:00 am – 5:00 pm) and Confluence Calgary (6:00 – 11:00 pm)

We're thrilled to announce that preparations for the 2025 JazzYYC Fundraiser are under way, and we need your passion and skills to make it our most successful event yet! 
We're seeking dedicated volunteers for our Planning Committee to fulfill these roles:

1. Auction Coordinator
The Auction Coordinator is responsible for finding and collecting auction items, creating packages, item descriptions and valuations, bid sheets, pictures, and supporting ticket sales.
•	Source and secure auction items from donors and businesses
•	Create attractive auction packages
•	Develop accurate item descriptions and valuations
•	Prepare bid sheets and take high-quality pictures of auction items
•	Set up and manage the online auction platform
•	Attend regular committee meetings

Day-of the event:
o	Set-up auction display
o	Works with the auctioneer around live-auction process
o	Manage the auction cash-out process
o	Coordinate the collection and handling of unsold or uncollected auction items
o	Ensure accurate record-keeping of all auction-related activities

2. Sponsorship Manager
The Sponsorship Coordinator is responsible for identifying and securing event sponsors, as well as supporting ticket sales for the event. Experience in sponsorship acquisition or corporate relations preferred.
•	Identify and secure event sponsors
•	Create and manage sponsorship packages
•	Ensure sponsor recognition and fulfillment of agreements

3. Theme and Decor Coordinator
•	Conceptualize and plan event theme and aesthetics
•	Source decorations and coordinate with vendors
•	Work with the venue to ensure theme implementation

Time Commitment
•	June to November 2025
•	Estimated 8-12 hours per month, with 8-10 hours on the event day
•	More hours may be required closer to the event
•	Attendance at bi-weekly committee meetings

About Last Year's Event: The High-Fidelity Listening Event

The event took place on October 26, 2024, from noon to 11:00 pm. It was a must-attend for jazz aficionados and audiophiles alike. From noon to 5 pm, guests had the exclusive opportunity to enjoy live jazz performances, explore the latest in audio technology, and engage with fellow jazz enthusiasts at the Audio Room. The evening then transitioned into the VIP Great Gatsby Jazz Soiree, a sophisticated and entertaining gathering. Attendees were treated to outstanding musical performances, exceptional culinary offerings, and a vibrant atmosphere throughout the event.

Day Portion (Noon to 5:00 pm)
This portion of the day offered – free of charge - live jazz music, other engaging activities, and an exclusive auction, designed to attract a come-and-go crowd throughout the afternoon. No tickets or registration were required for this portion of the event.

VIP Event: Great Gatsby Jazz Soiree with Caity Gyorgy
After 6:00 pm, guests enjoyed an unforgettable evening of 1920s glamour and jazz at the Great Gatsby Jazz Soiree, featuring renowned jazz vocalist and 2X JUNO-winner Caity Gyorgy. This exclusive VIP event included a high-end cocktail reception, live jazz performances, and an exciting Vegas-style experience with gambling tables. This was a ticketed event, limited to a maximum of 75 attendees.
