Be A Budd Foundation Director - Secretary - Starting from the ground up!

Be A Budd (BAB) is a youth-led community initiative dedicated to fostering connection, kindness, and belonging through community service that uplifts others. Now entering its fifth year of grassroots impact, BAB has grown from a simple idea into a meaningful movement powered by young people who want to make a difference. As we finish our first year as a registered non-profit organization, we are building the foundational structures needed to sustain and responsibly expand our work. Our volunteer Board of Directors plays a critical role in providing governance, strategic direction, and financial stewardship to help establish strong systems from the ground up and ensure long-term sustainability as we deepen and grow our community partnerships.

Position Overview:
The Secretary is a member of the Board of Directors and plays a key role in supporting strong governance, organization, and accountability within the Be A Budd Foundation. Working closely with the Board Chair and fellow Directors, the Secretary ensures that meetings, records, and organizational documentation are well managed and compliant with legislative requirements. This role is ideal for someone who is organized, detail-oriented, and interested in contributing to a growing youth-led nonprofit while gaining valuable board governance experience.

Key Responsibilities:

Governance & Documentation
•	Prepare and distribute Board meeting agendas in collaboration with the Chair. Record and maintain accurate minutes for all Board meetings. Ensure minutes and records are stored securely and accessible as required. Maintain official organizational documents, including bylaws and policies

Compliance & Reporting
•	Ensure required corporate filings and annual returns are completed on time. Maintain records required under Alberta non-profit legislation. Support documentation required for grant applications and reporting

Communication & Coordination
•	Support Board communication and meeting scheduling. Maintain an up-to-date roster of Board members and terms. Assist with onboarding documentation for new Board members

Leadership & Stewardship
•	Attend four (4) Board meetings per year. 
•	Provide governance oversight aligned with BAB’s mission and values. 
•	Participate in fundraising activities, community events, and advocacy efforts as appropriate. 
•	Act as an ambassador for the organization, upholding integrity, accountability, and professionalism

Qualifications:
•	Strong organizational and administrative skills
•	Experience with meeting minutes, documentation, or governance is an asset
•	Ability to work independently while contributing effectively to a team
•	Attention to detail and ability to manage confidential information
•	Previous board experience is valuable but not required

Term:
•	Minimum commitment to one two-year term with the opportunity to renew for a second two-year.  Term Approximately 2-4 hours per month, including the Board meetings Attendance at quarterly Board meetings, virtual or in-person.
