Kiwassa Neighbourhood House is a grassroots, multi-service community agency that has been providing a broad range of free or low-cost social services and programs to children, youth, adults, seniors, and families in East Vancouver for 75 years.

Kiwassa thrives on connecting with neighbors and encouraging them to share their experiences and friendships. They cooperate with other agencies to identify, develop, and support programs and services offered elsewhere in our community and City.
Project Summary
The project aims to migrate the organization’s local server to SharePoint and restructure the file management system to achieve better organization and accessibility of documents and information. By implementing a more efficient and collaborative file management system, the project seeks to improve productivity and collaboration among all team members.
The objective includes ensuring compliance with regulatory requirements and internal policies, as well as enhancing security measures to protect sensitive information.
The initiative seeks a project manager who supports the organization in its discovery phase, assessing the current state, capturing requirements, and exploring possible options for execution.
Project Objectives
•	Streamline Access: Support staff to remotely access documents and information through SharePoint.
•	Optimize Organization: Implement a standardized file management structure and taxonomy for easier navigation and search.
•	Enhance Collaboration: Foster collaboration by consolidating relevant resources (i.e. local server, OneDrive, Google Drive) into SharePoint environment.
•	Ensure Compliance: Establish access controls and retention policies to ensure compliance with regulatory requirements.
•	Improve Efficiency: Automate processes, standardize naming conventions and enhance search capabilities to improve file management efficiency.
Required Qualifications
•	Ability to effectively plan, execute, and oversee the migration of data from a local Server to SharePoint, ensuring a successful migration and adoption by stakeholders.
•	Effective communication, strong leadership, organizational skills, proficient time management, skillful problem-solving, and proactive risk management
•	Understanding of SharePoint's architecture, functionalities, and capabilities, coupled with familiarity with information management best practices, migration tools, and integration techniques is an asset.
•	Great communication skills set to inform stakeholders about the changes and benefits associated with transitioning to the new SharePoint environment.
•	Ability to align the SharePoint migration project with organizational goals, practicing effective cost management, and conducting post-implementation reviews to contribute to successful outcomes and continuous improvement.
Scope of Work
Plan the execution to achieve a streamlined and optimized SharePoint environment and file structure management that supports the organization's objectives.
Deliverables
•	Current state assessment; document the current state including existing gaps and possible risks.
•	Document desired future state:
o	Ensure compliance with regulatory requirements and internal policies, as well as enhance security measures to protect sensitive information.
o	Accommodate future growth while reducing storage costs and administrative overhead. 
o	Efficient user adoption by creating a more user-friendly environment and enhancing searchability to enable users to find information quickly and accurately are also key objectives of the project.
o	Efficient sustainment plan to ensure clear accountability, compliance with regulations, and alignment of organizational goals with decision-making processes.
•	Deliver project plan to ensure that the migration of data to SharePoint and restructuring of the file management system are carried out efficiently and effectively, meeting the needs of the organization and its stakeholders.
