Scheduling Coordinator (virtual)

About Shelter Movers:
Shelter Movers is a national, volunteer-powered charitable organization providing moving and storage services at no cost to individuals and families fleeing abuse. We collaborate with local businesses and community agencies to support people, primarily women and children, as they transition to a life free of violence.

Position Summary:
Scheduling Coordinators recruit volunteers to staff each move, working from Shelter Movers Edmonton’s database of active volunteers to create, send, and respond to Call to Action (CTA) emails. They are the ‘voice’ of Shelter Movers in our volunteers' inboxes, sharing opportunities to support moves with positivity, encouragement, a sense of purpose, and the joy of our work.
The Scheduling Coordinator reports to the Scheduling Supervisor or Operations Manager.

Responsibilities:
- Create ‘Call to Action’ (CTA) email content to send to volunteers, including relevant information about upcoming moves
- Update the Mover Availability Calendar sheet with volunteers’ availability using Volunteer Hub (our volunteer management software)
- Monitor scheduling email inbox and respond to volunteers inquiries 
- Follow-up with volunteers’ communications with consistency and timeliness
- Attend regular Scheduling Team meetings as instructed by the Scheduling Supervisor or Operations Manager 
- We highly recommend you to sign up as a Mover for a least 1 move

Time Commitment:
- Minimum one shift/ week, where each shift requires approximately 2-3 hours
- Please note: On your weekly shift(s), the work isn’t necessarily continuous; rather, we expect you to check the inbox and respond to emails as well as log the volunteer signups in our spreadsheet a minimum of 3 separate times throughout the day.
- This is a fully remote, unpaid volunteer position. We ask for a 6 month commitment.

The Ideal Scheduling Coordinator has:
- Access to wifi, email, and phone
- Strong verbal and written communication skills
- Comfort corresponding over email with volunteers
- Strong ability to work independently and as part of a team.
- Patience, empathy, and active listening skills
- Attention to detail, strong organizational skills, and reliable work habits
- Flexible and able to adapt to change
- Ability to maintain confidentiality and be trauma-informed 
- Demonstrate strong knowledge and understanding of Shelter Movers’ policies and procedures.
- A passion for Shelter Movers’ mission of supporting women and children fleeing violence and abuse.
- Awareness of appropriate boundaries, compassion fatigue, and self-care.
- Experience working with individuals from diverse backgrounds
- No previous education required.
- A long-term interest in the Violence Against Women (VAW) sector an asset.
- Experience in social services and the Violence Against Women (VAW) sector an asset.

Other requirements:
Shelter Movers volunteers must be at least 18 years of age, complete an interview process, sign a confidentiality agreement, obtain a police reference check, and attend a Shelter Movers Orientation session. Scheduling Coordinators will be completing additional role-specific training.
