Project Manager - Volunteer Resources Management System Project

Organization Mission

Flourish! School Food Society brings nourishing change to the way students eat and learn about food in schools.  The group is working to help build school meal programs for all students that are supported by curriculum connected, experiential learning opportunities in school gardens, kitchens, and composts. They aim to provide tailored service to meet schools where they are at and support the slow development of a nourishing school food environment. Currently Flourish School Food Society provides food for 21 schools as well as supports garden care and programs in another 8 schools in Southern Vancouver Island.

Project Summary

Flourish School Food Society is seeking a Volunteer PM to help them design a Volunteer Resources Management System to perform and streamline administrative tasks to manage volunteers.

Project Objectives
- Understand and document the Flourish School Food Society requirements for managing Volunteers.
- Create process documentation for managing volunteers interested in supporting school food services and school garden care in the Capital region.
- Investigate tools available for volunteer resources management. 
- Implement volunteer resources management tool that will meet Flourish School Food Society requirements and volunteer engagement process.
- Fully trained Organization staff ready to manage the organization’s volunteer resources using the new tool

Required Qualifications
- 5 years practical project management experience 
- Good knowledge of, and experience in, volunteer resources management 
- Demonstrated experience in generating requirement specifications and process design. 
- Experience in change management would be an asset 
- Excellent written and oral communication 

Scope of Work
The project will start by collecting the requirements and any current issues that Flourish School Food Society has in engaging and managing Volunteer resources. Volunteer PM will rely on inputs from staff to design and review necessary processes that will support the needs and growth of the organization. The output of this phase will be necessary for reviewing alternative software tools for volunteer resources management applicable to the Flourish School Food Society needs. The Volunteer PM will work out an approximate budget and implementation timeline for implementing the chosen software tool.

 A Project Plan for the implementation will be generated, including transition, communication and staff training planning. The volunteer PM will lead the transition team through the implementation and the commissioning of the new VRMS. Note that for this phase (implementation) details on the scope of the project and the responsibilities of the volunteer project manager will have to be discussed and agreed, as they will vary depending on the decided new VRMS solution. 

- Requirement Specification for the future VRMS 
- Process Documentation on Volunteer engagement/Management
- Analysis of alternatives for the implementation of a Volunteer Resource Management system meeting the agreed requirements. 
- Project Plan covering all aspects of the implementation of the new system. 
- Functional new VRMS 

The PM volunteer will have end-end accountability on project deliverables, reporting to Matthew Kemshaw, Executive Director of Flourish! School Food Society.

Flourish! School Food Society will provide a letter of recommendation at the successful conclusion of the project and will serve as a reference if appropriate.
