Project Manager - BC Non-Profit Leadership Conferenc

Vantage Point is a British Columbia non-profit that serves other BC non-profits. We convene, connect, and equip leaders to lift organizational capacity and elevate the non-profit sector.
Vantage Point plays an important role in lifting and amplifying the strengths of this dynamic, resilient, and innovative sector. By identifying the sector’s strengths and challenges through research, and engaging in collaborations and government relations, Vantage Point has emerged as a relevant voice for the sector in recent years.
Vantage Point provides training and capacity-building support in areas of governance, leadership, human resources, strategic planning, and other key topics that support non-profits to achieve greater impact.

Project Summary
Vantage Point is looking for a project manager to assist in planning a 2-day leadership conference that will be held in a hybrid in-person/online delivery, that will allow for maximum accessibility to a broad, geographically diverse audience.   June 6th will be an online virtual day while June 7th will be in person.
This is Vantage Point's annual leadership conference for non-profit organizations (previously known as BOSS: Building Organizational and Sector Sustainability).

Project Manager Role & Responsibilities
•	Work with the Operations and Communications Manager to lead the team to gather requirements. 
•	Create project plan including scope, budget, resource, timelines in cooperation with Vantage Point team and utilizing plans created by team members.
•	Confirm and monitor all roles & responsibilities, ensure timely decisions when required.
•	Coordinate all activities in collaboration with the Operations and Communications Manager
•	Provide input to the marketing and communication plans with team members.
•	Monitor project progress and work to be completed with the project team on a regular basis. 
•	Provide leadership with the Operations and Communications Manager to manage issues and escalations.
•	Manage changes and provide mitigation plan. 
•	Ensure proper documentation is created and communicated.
•	Attendance at conference is preferable. 

Required Qualifications
•	3-5 years project management experience is preferred.
•	Strong strategic planning skills
•	Critical thinking and problem solving to establish priorities and strong attention to detail.
•	Ability to set priorities and manage multiple activities in a changing environment.
•	Creative eye and good writing skills is a benefit, specifically for creative decks and offer pitches.
•	Strong oral and written communication skills, and the ability to converse with various stakeholders.
•	Excellent decision-making and leadership capabilities.
•	Adaptability and ability to work well with groups.
•	Sufficient knowledge about using virtual team communication tools.
•	Project management related certification (CAPM, PMP etc.) is an asset. 
•	Experience in events planning is an asset.
•	Experience working with not-for-profit sector and volunteer project team members is desirable.
•	Canadian citizens or those with Permanent Resident status are preferred.

Estimated Time Commitment 
10-15 hours per month 
Start Date: 	February 19, 2024.				End Date: 	June 28, 2024. 

Deliverables
Project Deliverables
•	Successful 2-day conference, measured by successful completion of the project plan and positive feedback from internal team members and external participants about the conference operations and planning
•	Full suite of conference sessions
•	Networking event
Project Manager Deliverables
Work with Operations and Communications Manager and relevant team members to:
o	Develop Project Charter with objectives, scope, risks, constraints etc.
o	Detailed task breakdown with required resources
o	Detailed schedule and project timeline
o	Develop a communication plan to reach the audience.
o	Produce Project Status reports of progress at agreed upon frequency.
o	Conduct and produce Close out and Lessons Learned documents in cooperation with Vantage Point and PMV

Accountability
The PM volunteer will provide leadership to meet Vantage Point objectives. The PM volunteer will work collaboratively with the Operations & Communications Manager on all project deliverables and will report to the Operations & Communications Manager.

•	You save $375 by attending the conference as a member of the organizing team. As mentioned, it is preferred that the PM volunteer attend the conference.

Additional Notes
•	We may proceed with interviews before the application deadline.
•	We may consider a team approach of a senior/junior project manager. We encourage junior project managers to apply. Any such arrangement will be contingent on agreement by the client and the applicants.
