RMHC Alberta Polo Classic Committee

What is the RMHC Alberta Polo Classic Committee?

This committee is responsible for assisting with the planning and event logistics for the first annual RMHC Alberta Polo Classic.

Event Dates Calgary Polo Club – August 28, 2021
RMHC Albert Polo Classic

We are excited to host the first ever RMHC Polo Classic, August 28th at the Calgary Polo Club. Guests can expect one junior game and one to two professional games, accompanied by food and beverage service, hat parade, divot stomp, welcome gifts, entertainment and more!

We are still working on logistics that abide by the ever changing COVID-19 rules and restrictions but are currently looking for committee members to help plan this great event.
Committee Commitment
- 1 Hour – monthly meetings
- Time: 3:30-4:30 tentative
- 1-3 hours per week spend outside of the meetings completing job related tasks
- Event attendance – not required but encouraged

Volunteer Lead
- This position will be responsible for determining volunteer needs, role descriptions, recruitment, training, and stewarding volunteers.

Board/ Development Committee representative
- This position will be responsible for assisting with the fundraising aspects associated with the event as well as communications and board engagement
Presenting Sponsor representative
- This position will be responsible for communicating back to their organization and determine ways to engage.

Marketing & Communications-
- This position is responsible for helping to promote the event, while coming up with new and exciting ways to increase attendance. This would include working with other members or the committee to help get the word out. This may include calling past guests, reaching out to our network to spread the word and more.

Food & Beverage
- This position is responsible for coordinating all food and beverage logistics, such as food stations, drink holes and product donations.

Auction Leads
- This position is responsible for organizing and coordinating our online auction. Job includes but is not limited to, recruiting items, taking photos, and uploading to auction site, coordinating the pickup or delivery of items after the event and donor recognition.
Corporate Relations & Sponsorship
- This position is responsible for helping recruit sponsorship, increase registration, and help promote the events. This position works closely with our sponsorship manager to recruit new sponsors while ensuring they are benefiting from the event.

Registration Lead
- This person is responsible for increase registration as well as running the registration desk day off, helping to bundle teams, and team communication.
Guest Experience
- This position is responsible for ensuring our guests have an amazing time! Working with other committee members to organize activities, fun drink stations, registrant welcome gifts, prizing and more.

Tournament Logistics
- This person is responsible for working closely with tournament leads, to ensure your course has day of logistics covered. This would include organizing activities and supplies (tables, chairs, tents, decor etc.), working with volunteer services to ensure we have enough volunteers, working with tournament lead to help set up the course and make sure things run smoothly day of.

Committee Responsibility:
• Committee members will be responsible for their individual position and are encouraged to contribute to the success of other components of the event.
• With this committee being province wide, participants can attend meetings in person or via video or phone.
• Committee members are encouraged and welcome to volunteer or participate at the event in their regions.
Expectations:
(1) Attend 75% of regularly scheduled meetings
(2) Promote the event within their networks, signing up for the newsletter and like us on social.
(3) Bring in at least five guests and a minimum of two auction items
(4) Contribute to the overall success of the committee
(5) Represent Ronald McDonald House Charities® Alberta in a professional manner
